The Role: Secretary/Administrator – Part time 21 hours (per week)
Location: Birmingham
Salary: £25,000 (Pro Rata)
Our clients are looking for a dedicated
Secretary/Administrator to join their team to ensure the smooth day-to-day operation of the office. This role plays a vital part in managing administrative tasks, organising events, and supporting charitable activities. This role will require initiative, strong organisational skills, and the ability to work independently when needed.
Key Responsibilities- Handle phone calls and respond to charity-related queries.
- Monitor and manage the charity's inbox, ensuring prompt and professional responses.
- Organise back-office administration for events, such as sending out invitations, tracking responses, and providing weekly updates.
- Maintain an up-to-date database of charity contacts (Trustees, Patrons, volunteers, organisations, and contributors).
- Oversee the grants process, including receiving and assigning applications, coordinating assessment meetings, and maintaining accurate records of grant recipients.
- Organise Trustee and fundraising meetings, ensure meeting documents are sent 7 days in advance, and attend meetings to take minutes.
- Provide clerical support as needed, including drafting letters and preparing reports.
The Person: - Assist with posting updates and events on social media platforms or flagging to team members.
- Experience with platforms such as Ticketmaster and Eventbrite for delegate bookings.
- Strong administrative skills and attention to detail
- Computer savvy with the ability to quickly learn new software and systems
- Strong written composition skills, especially for drafting letters and meeting minutes
- Excellent verbal communication and interpersonal skills
- Ability to work independently when required
- Basic social media management skills
- Familiarity with booking platforms like Eventbrite or Ticketmaster
