Hybrid role (working from home and the office)

We are seeking a PA Secretary with either Medical or Legal background to support the Life Time Planning/Injury Services team in Cambridge

The Role:

You will be required to provide high quality and experienced PA support to the team of partners and fee earners based in Cambridge

" Be the first point of contact for clients and new enquiries
" Arrange for new matter inception, including conflict searches, in conjunction with the Central File Opening team
" Oversee and co-ordinate new referrals and arrange opening of new client matters
" Arrange appointments for your fee earners
" Update client records on databases as required and to maintain records of client enquiries
" Initiate and drive the billing process with your fee earners
" Contribute to your fee earners' financial performance by proactively working with fee earners to manage their matter balances and write-offs
" Proactively support the fee earners' business development activities
" Co-ordinate the return of typed documents and action next steps including amendments where necessary
" Carry out property searches where appropriate
" Prepare expenses claims on behalf of fee earners
" Proactively identify matters for closure and preparing final billing and/or return of client monies
" Adhere to firm wide and divisional Best Practice protocols and SLAs
" Comprehensive diary management for your fee earners
" Ensure meeting rooms are booked, including any equipment and refreshments
" Preparation of Powerpoint presentations for your fee earners
" Ensure you work proactively with your fee earners to forward plan meetings, travel etc
" Ensure all files are up to date, either by e-filing or hard copy filing

Knowledge, skills and experience required
" High degree of competence in the use of Microsoft Office
" Legal PA experience would be preferred but you may have gained experience as a PA or secretary in a similar professional services environment
" Excellent verbal and written communication, with appropriate and effective use of grammar and punctuation
" Three years' experience (or equivalent) gained within a comparable environment and at an appropriate level
" Be respectful, working with integrity and professionalism at all times
" Willingness to work flexibly to meet client needs
