Job Description

Are you a leader looking for a new role? Our client is looking to grow their team.As a Team Leader will oversee the smooth functioning of the administrative teams within the orginisation. The role involves managing schedules, recruitment, training, and a range of operational responsibilities. You will be key in ensuring high standards of service delivery, maintaining processes, and providing leadership to  admin staff. You will have the opportunity to make a significant impact on the operational efficiency and patient experience within the orginisation. Due to the nature of the role you will be required to work 5 days on site. The role does offer free parking. Salary up to ££30,000
 
What will I be doing?
  • Training for New Consultants: Conduct recorded training sessions for new consultants a week prior to their start date.
  • Scheduling Management: Create and update appointment types, organise schedules for new consultants to ensure smooth integration into the team.
  • Clinical Staff Recruitment & Training: Conduct in-person interviews and oversee the training of new admin staff on processes. Update admin training records.
  • Patient Booking System: Oversee Cliniko schedules, ensuring clinicians have a balanced workload, manage clinician schedule changes, and fill cancellation slots.
  • CRM System: Develop knowledge of HubSpot system processes, including reports, task creation, and follow-up procedures.
  • Internal Processes: Supervise daily operational processes, such as patient tracking, clinician reports, and email management.
  • Managing Clinical Staff: Ensure all clinical staff adhere to processes and procedures, provide regular feedback, and conduct daily check-ins with both admin staff and senior staff members, manage priority tasks for specific team members, ensuring timely completion of all responsibilities.
  • Complaint Handling: Address patient complaints regarding process issues, report safety-related complaints or issues around medication directly to the Practice Manager.
  • Daily Task Planning: Update targets every morning, assign daily admin tasks to staff, covering key responsibilities.
 
What about you?
  • Minimum 1-2 years of experience in a leadership or management role, preferably within a mental health setting.
  • Degree in psychology, psychiatry, social work, or a related field is not essential but would be helpful.
  • Strong organisational skills and the ability to manage multiple tasks effectively.
  • Excellent communication and interpersonal skills with the ability to work with a diverse team.
  • Proficiency with Cliniko, HubSpot, or other similar management software is highly desirable.
  • A passion for mental health and improving patient care and experience.
  • Ability to handle complex issues and provide constructive feedback to both clinical and administrative staff.
