Job Title: Order and Shipping Coordinator
Job Overview: We are seeking a highly organised individual to manage the end-to-end process of order fulfilment, from receipt through to delivery to the customer. This includes overseeing raw material and finished goods orders, coordinating transportation, and ensuring all necessary documentation is completed accurately and timely. The role covers customer interactions, internal coordination, shipping logistics, and compliance with relevant legal requirements.
Key Responsibilities:
Communication:

Demonstrate clear, concise, and professional communication, both verbally and in writing (emails, phone calls, etc.).
Interact with customers (internal and external) courteously and professionally across various communication channels (phone, email, face-to-face as needed).

Shipping and Logistics:

Manage the transportation of finished goods, raw materials, and consumables, ensuring timely delivery to customers.
Complete necessary documentation for dangerous goods shipments across all transport modes and destinations.
Ensure all customer-specific requirements are met, including:
- Custom labelling as per order specifications.
- Adhering to delivery schedules, locations, and terms.
- Special packaging requirements.
Oversee the picking, booking, and delivery of goods according to sales order terms, ensuring compliance with defined shipping guidelines.
Manage shipping documents, including invoices, certificates, and export documentation (e.g., Certificate of Origin, EUR1, Dangerous Goods declarations).
Coordinate with third-party logistics providers (3PL), updating sales teams on delays as necessary.
Support the creation of customs entries and manage outbound shipments.
Work with purchasing teams and logistics partners for inbound clearance and delivery.
Assist with monthly posting and reporting of dispatches.
Resolve customer shipping and customs queries in coordination with sales teams.
Process returns according to company procedures.
Maintain shipping records per compliance requirements.
Minimise unshipped finished goods stock and review aged stock.
Monitor shipping performance metrics and assist with customer complaint management.
Support batch creation for in-house manufacturing lines.

Order Management:

Ensure that stock is available and orders are processed according to demand.
Collaborate with relevant teams to address stock or order issues and adjust dates in purchase orders.
Organise shipments based on customer requirements and shipping constraints (e.g., courier limits, country-specific needs).
Generate pick sheets and labels and ensure the efficient processing of logistics orders.
Handle urgent requests and resolve any issues related to raw material orders.

General Support:

Participate in organising team events and social activities.
Assist with long service awards and other employee recognition events.

Required Skills and Attributes:

Proven experience in logistics, shipping, or production flow management, particularly in handling dangerous goods.
Trained in IMDG/IATA regulations for dangerous goods shipping, with a solid understanding of the documentation and compliance requirements for hazardous materials.
Proficiency with Microsoft Office and experience with Microsoft Dynamics AX is desirable.
Self-motivated with a positive attitude and eagerness to learn.
Strong problem-solving skills and the ability to collaborate with colleagues for optimal solutions.
Ability to work independently while being a strong team player.
Excellent communication skills, with the ability to handle challenging situations effectively.
Strong attention to detail and the ability to multitask in a fast-paced environment.
Effective time management and the ability to meet deadlines.
